Terms & Conditions

Like all good things, we have to make sure that you, us and everyone who uses Studio 9 is well looked after and above all, safe.

Whilst booking, please take the time to read through our terms and conditions. It is in all of our best interests that the space is used responsibly and safely.

Bookings

  • Studio 9 has a 1 hour minimum booking slot.
  • Please phone or email to make bookings.
  • Bookings must be paid in full before arrival or entry will be refused.

  • Here at studio 9 we love things to run smoothly and will do our upmost to do so. However, we reserve the right to cancel bookings with minimal notice in the unlikely event that to studio is not fit for purpose.

  • If a studio booking needs to be amended or cancelled the hirer must contact us directly. If a booking is made within 48 hours of its start time we reserve the right to keep 100% of the payment. If it is amended more than 48 hours before, the percentage of payment withheld is at our discretion.

  • It is the full responsibility of the hirer to ensure all booking details are correct.

  • Booking confirmation will be sent via email once payment is made in full. Again, please make sure we have your correct contact details.

  • In the event of a mistake or failure within our booking system, either technical or human, we will not be held liable for any resulting losses under any circumstances.

  • Bookings must be made at least 16 hours before the studio session is due to commence. (You're welcome to call about urgent bookings but we can’t guarantee we can always help)

  • Should you require extra time at the end of your booking this can be paid for on the day at the rate of £20 per hour. This is offered entirely at the discretion of studio staff who reserve the right to refuse additional time for any reason. Please bear in mind this also may not be possible if another studio booking immediately follows yours.

  • It is the sole responsibility of the hirer to book the correct amount of time for their shoot at the point of booking. Should a shoot run over or fail to complete their shot list, we cannot be held responsible in any way. 

  • The hire fee only covers the hire of the studio premises during the booking period and includes only the equipment listed on the website. We reserve the right to prevent a client from using any equipment or fixtures should we feel they are not suitable to do so.

  • Bookings commence at the time stated when booking, therefore the studio cannot be accessed by the hirer or any colleagues any earlier than this time. Should any crew member/hirer arrive early, our staff reserve the right to refuse them entry and ask them to return at the agreed booking start time.

  • We reserve the right to contact you by text, phone, email or any other means regarding your booking for any reason. These include but are not limited to booking confirmation, follow up messages, booking expiration notifications and booking reminders. 

Equipment

  • All equipment/facilities provided by the studio are in good working order and are regularly inspected. It is the responsibility of the hirer to alert studio staff to any issues with equipment/facilities on arrival. If issues are not reported immediately, the studio is not responsible for any resulting losses.
  • Our studio equipment list is subject to change at any time and without notice. We may provide similar alternatives should the equipment listed be unavailable. For example, if a client damages a flash head during a booking on Monday, we will provide a replacement where possible for bookings the next day but we cannot guarantee it will be the exact same model/make.

Other

  • If you would like to bring a pet/animal into the studio we ask that you please contact us in advance out of courtesy. We reserve the right to charge the owner for any mess, loss or damage caused by pets. 
  • We have a zero tolerance policy on abuse towards studio staff. If we find staff have been treated improperly, we reserve the right to cancel your booking without refund and bar you from using the studio again in future.

  • Hirers or persons using the studio must have suitable insurance in place to cover the loss, damage or theft of any items they possess or hire. The studio will only insure and protect its own equipment and facilities.

  • Any damage, loss or theft of items hired by or belonging to the hirer will be entirely their responsibility.

  • Any equipment/mess/rubbish/tools or items of a similar nature that were not present in the studio on arrival must be removed by the hirer. Anything left behind may be subject to additional charges for storage or waste removal charges.

  • The studio and its security is entirely the responsibility of the hirer during the booking, including the load in/ load out.

  • We will not be responsible for any loss or damage to vehicles parked near to or on the studio premises.  

  • We have the right to record and monitor the hirer and any additional person using the studio before, during and after the booking period for security reasons using CCTV. This footage may be used as evidence should any terms listed in this agreement be broken e.g damage or loss.

  • Please do not remove any items or fixtures from the studio that are fixed in place. Please ask staff should you wish to move an item.

  • All items in the studio on arrival must be returned to the same place at the end of the booking. If any item is unaccounted for, damaged or stolen, we reserve the right to charge the full retail value for a brand new replacement.

  • Should any equipment break or fail for any reason before or during the booking, we are not liable to provide an immediate replacement and will not be held responsible for any delays or losses caused as a result.

  • The prices listed on the studio website are subject to change at any time. We may alter them without notice at our discretion.

  • The cost of hiring the studio does not include any insurance or protection for the hirer’s equipment before, during or after the booking period. All belongings are entirely the responsibility of the hirer.

  • Should the hirer wish to bring/provide their own catering, they must take the necessary precautions to ensure food waste and mess is kept to a minimum and is entirely removed prior to the end of the studio booking and placed in the bins provided.

  • Several bins are provided in the studio and must be used at all times for any items of waste. However, should we deem that excessive amounts of waste has been generated by a booking, we reserve the right to charge for a waste removal service to dispose of this. 

  • We will not be held responsible for any injuries of any kind or severity obtained by anyone using the studio for any purpose. This includes but is not limited to the hirer or any persons using the studio during the booking period.

  • We have a strict no smoking policy which includes the use of e-cigarettes or any vaping equipment throughout the studio.

  • The studio can also be hired for alternative uses including business meetings, conferences, workshops, fitness and dance classes and band rehearsal.

  • Alcohol is allowed to be consumed in the studio by the hirer but only at our discretion. We ask that you contact the studio first before bringing alcohol and that any drinking is undertaken responsibly. 

Extra Charges

  • 9ft backdrop with one scoop is included in the price of the studio hire. 
  • Any requests for additional paper backgrounds supplied at 2.72mtrs wide x 11mtrs long will be billed at £35 each, which is payable upon booking your studio hire (where we have specifically purchased a background for your session, this charge is non refundable). Please allow 14 days for an additional background to arrive into stock.
  • We operate a ‘fair use’ policy. Should a member of  staff feel this has been abused, we reserve the right to charge for any additional paper per metre.

  • The studio must be returned to the state it was found by the hirer on arrival. Should anything be deemed unsatisfactory on arrival, this must be reported to a member of staff immediately at the beginning of the studio booking. If the studio is not returned to the same level of cleanliness on exit, we reserve the right to charge a cleaning fee of £30 or above. 

  • The hirer is entirely responsible for any damage or loss caused during the hire period. Therefore, we reserve the right to charge the hirer for any repairs and replacements necessary.

The term ‘we’ is used to represent Studio 9 Derby as a business, including but not limited to its staff, premises and equipment.
